How to Replace an Empty Ink Cartridge in the HP Deskjet 6940 series Printer – an Illustrated Tutorial in 10 Steps

HP Deskjet 6940 Color Printer (C8970A#B1H)

Make sure you purchase the right ink cartridges for your specific printer and printer region or have your old ones refilled. Cartridges are not compatible between different brands, and often not within the same brand. Unlike other inkjet manufacturers, HP often designs its inkjet hardware to use country-specific consumables. When you unbox a new HP inkjet printer and set it up, you install a set of ink tanks that ship with the printer. As you turn on the device and get ready to use it, an initialization sequence localizes it to the country associated with the ink cartridges you installed.

HP recommends that you use original HP ink cartridges. XL (Extra Large) cartridges cost more but do provide better value in the long run. They will be able to print at least double the pages of a regular cartridge. However, (original) HP XL cartridges for the HP Deskjet 6940 series printer are NOT available.

Ink level warnings and indicators provide estimates for planning purposes only. When you receive a low-ink warning message, consider having a replacement ink cartridge available to avoid possible printing delays. You do not have to replace the ink cartridges until the print quality is unacceptable. Use the ink-backup mode to operate the HP Deskjet 6940 with only one ink cartridge. The ink-backup mode is initiated when an ink cartridge is removed from the print cartridge cradle. Printing in ink-backup mode slows the printer and affects the quality of printouts. HP does not recommend using the photo print cartridge or the gray photo print cartridge for ink-backup mode.

Print cartridge combinations
Four print cartridges can be used with the printer. For printing most documents, use the tri-color print cartridge and the black print cartridge. When printing quality color photos, use the photo print cartridge along with the tri-color print cartridge. For printing high-quality black-and-white photographs, use the gray photo print cartridge in conjunction with the tri-color print cartridge. Always install the tri-color print cartridge in the left side of the print cartridge cradle. Install the black, photo print cartridge, or the gray photo print cartridge in the right side of the print cartridge cradle.

For regular usage, this product is not designed to print using only the black cartridge when the color cartridges are out of ink. However, your printer is designed to let you print as long as possible when your cartridges start to run out of ink. When there is sufficient ink in the printhead, the printer will offer you the use of black ink only when one or more of the color cartridges are out of ink, and the use of color ink only when the black cartridge is out of ink. The amount that you can print using black or color ink only is limited, so have replacement ink cartridges available when you are printing with black or color ink only. 8. Align the cartridges.
Aligning the cartridges ensures the high-quality output. The HP All-in-One prompts you to align the cartridges every time you install a new cartridge. If you remove and reinstall the same ink cartridge, the HP Officejet 5741 e-All-in-One will NOT prompt you to align the ink cartridges. The HP All-in-One remembers the alignment values for that ink cartridge, so you do not need to realign the ink cartridges. Follow the instructions on the printer display to align the cartridges. You can also align the cartridges from the printer software.

a. Touch OK after closing the cartridge access door.
b. Wait for the printer to calibrate and align the cartridges. After the alignment is complete, the printer prints an alignment page.
c. Touch OK, and then discard or recycle the alignment page.

Our advice is that if you print often, go with XL. However, ink can dry up. So if you are not a frequent printer, go with the regular cartridges.

When the ink level for the print cartridge is low, a message might appear on your computer screen. You can also check the estimated ink levels from the printer software or from the printer control panel. The icon below displays a screen where you can see information about the ink cartridges, including fill levels. This icon has a red border when an ink cartridge needs attention. Ink level alerts and indicators provide estimates for planning purposes only. When you receive a low-ink alert, consider having a replacement cartridge available to avoid possible printing delays. You do not have to replace the cartridges until you are prompted to do so.

When there is no longer sufficient ink to print, you will get a message that one or more cartridges are depleted, and you will need to replace the depleted cartridges before you resume printing.
